21 Apr 2008 Meeting with Pafilia Architect

Meeting at Pafilia Office with Antonis Mavros, Victoras and Peter (German Architect), all Pafilia and Axel Baudach. Catrin is on holidays.

1. Antonis took over from Said. He is Chief Architect at Pafilia. His main office is in Nicosia.
2. It was an introductory meeting, general in nature. He was briefly informed by Victoras about the status quo including the most recent changes made to the architecual plans.
3. We briefly discussed areas of concern, e.g. internal and external communications and supervising the physical building activities.
4. Antonis restated Pafilias internal operational rules:

• A contract was signed. Any changes by the customer to the contract or to the plans had to go through the apointed Administrator. The Administrator will organize/coordinate the required action and the Administrator will address pricing issues and coordinate the respective action. In his opinion this rule was not followed on this project.
• My reply to Antonis:

• We have tried to follow the rule. However, the process took too long and we were frustrated because we always had to take the initative (e.g. call and ask for the status).
• The quality of information is not sufficient. E.g. if we ask for a quote we only get a price but not sufficient information to take a decision (example: underfloor heating, heat pump)
• There is no documentation of any meeting to speak of. This is the reason why we have started the web site and I encouraged Antonis to have a look and read the project history.
• I stated that almost all Pafial staff are working hard and are supportive on an individual level, but most problems are self inflicted by lack of internal/external communication. The best communicator on the team is our Project Manager Christakis.

5. I stated my dissatisfaction about the fact that we discuss particular topics and subsequently the Pafilia is taken the discussion for granted. Most recent issue: Catrin´s kitchen as well as electrical plans.
   
   
6. We discussed some new changes to exisiting plans:

• Windows in Catrin´s living room. The design element covering the windows should be removed (see Diary entry 20.4.2008)
• Architectural drawings: The plans are not consistent. Some plans show windows 250 cm height, other views of the same window show 220cm height
• We have addressed the issue that the swimming pool should have an even dept level of 120 cm. This has been discussed before, however this should be reflected in the plans as well
• Railing on Axel´s floor (see drawing). The current plan show a solid wall on the left side of the terrace (marked with 1) and on the right there is a railing going all the way to the side of the house (marked with 2). I asked to change it so I have a railing on the left and a wall on the right.
• I asked for a conceptual idea how my terrace (first floor) could get sun coverage (see area marking on plan). The sun cover should be in line with the overall design of the house.
• I asked to have a discussion about the electrical installations. The discussions should be with technical expertise on Pafilia´s side.

7. We agreed on the following next steps:

• Sonia (Pafilia) is working on the calculation of the change requests. She told Antonis that she will have all the details on 5^th May.
• Subsequently we have a joint meeting and discuss the status and decide what changes will be made and what not
• After that meeting the architectural department will prepare new plans with the changes.
• We will have the meeting regarding the electrical installations with Pafilia´s external consultant.
